Online Booking & Deposits
A 50% deposit is required at the time of online booking. The system will allow on the hour and half hour booking but if we need to move an appointment up or down 30 minutes to not create gaps in the book of the therapist we will move them according to the spa’s needs.
Gift card holders and Spa Botanica members must call or email the spa directly to schedule their appointments. Online booking is not available for gift card or membership appointments. A credit card is required on file for all appointments in accordance with our cancellation policy.

Cashless Property
Please be advised that Embassy Suites Charlotte/Concord Golf Resort & Spa is a cashless property.
We accept all major credit cards for deposits and payments. Guests may still provide cash gratuity directly to their therapist if they prefer; however, we are unable to provide change.

Sauna, Steam Shower, & Hydrotherapy Tubs
Our sauna, steam shower, and hydrotherapy tubs are exclusively available to spa guests receiving a scheduled spa service, in accordance with Hilton policy.

•  Steam Shower & Hydrotherapy Tubs: These amenities must be used in conjuction with a scheduled massage or body treatment and are not available as standalone services.
• Sauna: Our sauna features dry heat and red light therapy and is available for one guest at a time. The sauna must be requested at the time of booking so that we can reserve the appropriate time for your session. Because the sauna is not continuously operating throughout the day, advance notice is required to allow sufficient time for it to heat to the appropriate temperature.
• Hours of use: Sauna access is only permitted during regular spa operating hours.
• Age & Health Restrictions: Gusts must be 18 years of age or older to use these amenities. Guests with health conditions or medical contraindications that may make use of these amenities unsafe will not be permitted to use them. If you have any questions about whether these amenities are appropriate for you, please consult your healthcare provider before use.

Age Requirements
Guests must meet the following age requirements for spa services:

• Guests under 15 years of age may not receive spa services.
• Guests 15 years of age may receive a facial. A parent or legal guardian must remain present in the treatment room for the entire service.
• Guests 16–17 years of age may receive massage with the consent of a parent or legal guardian.

For guests ages 16–17, the parent or legal guardian must remain at the spa during the service. If the therapist and parent/guardian are comfortable with the minor being in the treatment room independently, we may accommodate this arrangement. At the therapist’s request, the parent or guardian must remain in the treatment room for the entire service.

Medical Conditions & Physician Clearance

Guest safety is our priority. If you have had surgery within the past 4–8 weeks, or are currently under a physician’s care for a medical condition—including cancer, high-risk pregnancy, back surgery, or another condition that may be affected by massage or bodywork—you may be required to provide a doctor’s release before receiving spa services.

Please consult with your physician and obtain appropriate medical clearance before booking if you have a pre-existing medical condition.

Prenatal Massage
Prenatal massage is available for expectant mothers between 12 and 40 weeks of pregnancy.

Guests with a high-risk pregnancy must consult with their physician before booking and may be required to provide medical clearance.

Cancellation & Deposit Policy
We require a 50% deposit for all services, packages, and group bookings. Online reservations require a 50% deposit at the time of booking.

Our standard cancellation policy requires 24 hours’ notice.

• Cancellations made with 24 hours or more notice will be handled according to the applicable booking terms.
• Cancellations made 23–9 hours before the appointment will result in a charge of 50% of the service to the card on file.
• Cancellations made 8 hours or less before the appointment, as well as no-shows, will result in a charge of 100% of the service to the card on file.
• Same-day cancellations and rebooking with less than 24 hours’ notice are not permitted.
• Packages and group services require 72 hours’ cancellation notice.

This policy helps protect our spa professionals and their scheduled time.

Holiday Policy
Holiday appointments require a 100% deposit at the time

of booking and a 72-hour cancellation policy.

For purposes of this policy, holidays include:

• Christmas Eve
• New Year’s Eve
• Valentine’s Day period: February 8–16, 2027
• Mother’s Day Weekend 2027

Gratuity & Fees
For your convenience, a 20% gratuity is added to all appointments at the time of purchase.

A $5 facility fee/tax per person is also applied to each appointment.

Before your appointment:
After booking, you will receive a confirmation email containing a personalized guest intake form.

Please complete your intake form before arriving.

Your intake-form link is individualized to your email address and guest profile and may not be forwarded to another person.

We recommend arriving 20–25 minutes before your scheduled appointment. This allows sufficient time to check in, change into your robe and slippers, and begin relaxing before your treatment begins.

Gift Cards
Spa Botanica gift cards are available for purchase.

Please note:

• Gift cards expire one year from the date of purchase.
• Gift cards must be presented at the time of purchase or redemption, as applicable.
• Spa Botanica is not responsible for lost or stolen gift cards.
